 Types Of Letters


Let us first understand that there are broadly two types of letter, namely Formal Letters, and Informal Letters. But then there are also a few types of letters based on their contents, formalities, the purpose of letter writing etc. Let us have a look at the few types of letters.


*Formal Letter : These letters follow a certain pattern and formality. They are strictly kept professional in nature, and directly address the issues concerned. Any type of business letter or letter to authorities falls within this given category.


*Informal Letter : These are personal letters. They need not follow any set pattern or adhere to any formalities. They contain personal information or are a written conversation. Informal letters are generally written to friends, acquaintances, relatives etc.


*Business Letter : This letter is written among business correspondents, generally contains commercial information such as quotations, orders, complaints, claims, letters for collections etc. Such letters are always strictly formal and follow a structure and pattern of formalities.


*Official Letter : This type of letter is written to inform offices, branches, subordinates of official information. It usually relays official information like rules, regulations, procedures, events, or any other such information. Official letters are also formal in nature and follow certain structure and decorum.


*Social Letter : A personal letter written on the occasion of a special event is known as a social letter. Congratulatory letter, condolence letter, invitation letter etc are all social letters.


*Circular Letter : A letter that announces information to a large number of people is a circular letter. The same letter is circulated to a large group of people to correspond some important information like a change of address, change in management, the retirement of a partner etc.


*Employment Letters : Any letters with respect to the employment process, like joining letter, promotion letter, application letter etc.


1. Definition of  a Personal Letter

A personal letter is a letter or writing made by someone to another with the aim of conveying news or information to other people.


Personal letter text has an unlimited number of words. And it can be written as many pages as you need or you like.


However, a personal type letter has several things that must be written, such as address and date, greeting words, opening, content and closing.


Then at the end you can provide the sender's name and signature. Personal letters do not have standard rules like other letters such as official letters.


However, when writing personal letters, it's best to use language that is polite and easy for the recipient or reader to understand.


The language used in the personal letter text must also be communicative. A personal letter is a letter that is private or confidential which is known only to two people.


In the text of a personal letter not only provides information or news. Sometimes there are also those who make personal letter texts to tell someone's heart and feelings.


The goal is that the recipient of the letter also understands or shares what the sender of the letter feels.


But today letters are not used that way because in this day and age most people use social media.


Social media is useful for providing information or news to other people and no longer uses personal text letters.


There are several reasons why most people don't use personal mail. For example, such as a letter that does not arrive on time to the intended person or reaches the reader for a long time.


It's different now, which uses social media to send news or information in seconds.


This is because the farther the distance is addressed, the farther the letter reaches the reader.


Because of this, people are using social media more nowadays.


Like WhatsApp, Telegram, Facebook, SMS, SMS and many others to provide news or information.


Most of these applications are not the same as personal mail. However, it is very helpful in providing news or information quickly and does not wait long.


Personal letters written manually and typed by social media apps are actually the same. Namely at the same time providing information or news to others.

1.) In general, use the form of the greeting word in the letter. Personal mail usually takes the form of confidentiality or privacy. In general, the greeting word is placed at the top of the letter.

3.) Often uses various types of language in his writing. This must also be adjusted to the recipient of the letter.

5.) Generally, letter writers will use the second person pronoun. Likewise, the reader of the letter also uses a second person pronoun.


6.) In the opening remarks, it is better if the content and closing do not use language that is too formal. Or don't use language that's too official either


7.) It has a free and unbound format. Everything from the contents of the letter depends on the interests and desires of the author.


8.) This part of the letter does not have a letter number or letterhead like other official letters.


9.) On the body of the letter it is usually written because it requires communication in the letter with people who are close but far away.

1. ) Place and Date of Making the Letter


The place and date the letter was made is a very important part of a personal letter because it is the same as some other letters we have come across.


This is very important because it should not be forgotten the place and date of writing even though what is made is a personal letter.


The place where the place and date are written is generally located at the top right or left of the letter.


It is better if the fur is written in capital letters. In the place and date separator usually use a commadan ending with a period.


If the letter is written by typing, it is better if the place and date of the letter are written in bold.

2.) Recipient's Address


In addition to the place and date of the letter, the letter writer must also include the address of the recipient as shown in official letters in general.


In that section you also have to write the recipient of the letter, in that case it is usually preceded by writing their name first.


In addition, it is also important to include greetings in the letter. As examples of these greetings, such as friends, friends, lovers and many others.


Next is to write the name of the personal letter city. Authors do not have to write down the actual city name, or only use the city's nickname.


For example Yogyakarta is a student city, Malang is a student city, Dieng is a country above the clouds.

3.) Include the word greeting


The next important part not to be missed is entering greetings. The nature of this greeting word is informal or informal.


Letter writers and readers can use the language commonly used in everyday life.


The purpose of using this greeting is to strengthen the relationship between the writer and the reader of the letter.


Even if you use language that is often used in everyday life, you must use language that is polite and easy to understand so as not to hurt or offend the surta reader.

4.) Opening Paragraphs


The opening paragraph in a personal letter is still the same as in a letter in general, namely using the opening paragraph.


In general, the opening part usually appears in the heart, whether it's a longing or an expression or something.


In writing entries, it is not obligatory to use formal language. Openulis can use everyday language to make it look more relaxed.


Usually the writer also includes pleasantries in the opening section so that it looks more familiar because it hasn't been long since greeting each other.


Of course, the recipient of the letter or the reader will also feel closer to the sender of the letter even though it has been a long time since we met.


But it is also important that the letter opening is different from the other opening paragraphs of the letter.



5.) Fill in the letter


Of the several parts that have been explained next is the core or content of a personal letter. The subject of writing personal letters is in this section.


In general, what is written in that section is the purpose or purpose of the personal letter.


For example, such as expressing feelings in his heart or sadness that befell the writer of the letter.


It can also include feeling missed or giving good or bad news and many others.


In addition, the author can also fill in sections of a personal letter with memorable or important experiences through which he is happy or sad.


The body of the letter also doesn't have to be too formal.


Just write in polite language so that it is easy for the reader to understand and try not to be complicated so that the reader does not have difficulty understanding the contents of the letter.



6.) The Closing Section


The next part that should not be missed is the closing part. In general, what is written in the closing section is an apology to the reader of the letter.


In addition, it is also possible to give various thanks and wishes to be closer. Don't write too much in the closing of the letter.


Good closing writing is only about 2-3 sentences long and easy to understand. Rambling on your closing words can ruin the neatness of your personal letter text.



7.) Author's Name and Signature


At the end of the personal letter description, include the full name and signature of the author or sender. This section is usually written in the lower-right or left-hand corner of the letter.


The name and also the signature included are usually written concisely and clearly.


And don't forget to enter in that section because most of you forget to log in.


Even though it is a personal letter not a formal or formal letter, it is very important to sign it.


In addition to the completeness of the letter, the signature also serves to convince the reader that the letter is really from the author.


Some of the mandatory parts of the private letter must be understood one another.
